The Position

We are seeking a Client Service Specialist to become an integral part of our growing team. This role is ideal for someone who enjoys managing details, creating organization, supporting clients with care and professionalism, and helping ensure day-to-day operations run smoothly.

The Client Service Specialist will support advisors and firm operations through client communication, account and workflow management, meeting coordination, and operational support. This position offers meaningful exposure to the inner workings of a growing advisory firm and provides strong opportunity for professional growth over time.

Key Responsibilities

Client Service & Communication

  • Serve as a professional point of contact for client service requests and general inquiries
  • Coordinate scheduling and calendar management for advisors and client meetings
  • Prepare meeting materials and assist with meeting logistics and follow-up
  • Support a high-touch client experience through timely communication and attention to detail

Operations & Workflow Management

  • Maintain accurate client records, workflows, and tasks within the firm’s CRM system
  • Track outstanding items and ensure timely completion of operational and client-related requests
  • Assist with account paperwork, documentation, and coordination with custodians and third-party providers
  • Ensure digital records and documentation remain organized, complete, and up to date

Administrative & Team Support

  • Provide day-to-day administrative and operational support to advisors and firm leadership
  • Assist with process improvements and operational initiatives as the firm continues to grow
  • Support special projects and additional responsibilities as needed

This position is operational and client-service focused in nature and does not involve providing financial advice or investment recommendations.

Qualifications

Required

  • MUST HAVE Prior experience in a financial planning firm (RIA preferred)
  • Experience with Financial Planning CRM systems (Advisor Engine preferred but not required)
  • Strong background in client service, administrative support, or operations
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities independently and follow tasks through to completion
  • High level of professionalism and discretion with confidential client information

Preferred

  • Proficiency with Microsoft Office tools including Outlook, Excel, Word, and Teams
  • Familiarity with Adobe tools for document preparation and review
  • Knowledge of using Google Drive

Compensation & Schedule

  • Part-time position averaging 25-30 hours per week
  • Opportunity for transition to full-time as the firm grows
  • Compensation: $25–30 per hour, depending on experience
  • Flexible remote work arrangement
