About the Role
We are looking for a hands-on, detail-oriented professional to join our team as an RIA Operations & Client Services Associate. The primary focus of this role is trading and portfolio rebalancing, Schwab account operations, compliance and administrative workflows that keep the firm running smoothly.
You will work alongside our existing operations team member as a peer with clearly defined areas of responsibility. Cross-training across workflows is expected as we are a small firm and resilience matters. Over time, the right person may expand into supporting client communication, attending client meetings, and assisting with financial plan preparation.

Key Responsibilities
Trading & Portfolio Rebalancing (~35%)
- Implement daily rebalancing procedures using our technology-assisted workflow: review output, verify accuracy and enter approved trades into the Schwab trade blotter
- Execute model-based and event-driven trades across client accounts in Schwab Advisor Center
- Monitor cash levels, contributions, withdrawals, and RMD needs; flag issues for advisor review
- Maintain complete and accurate trade logs and documentation after each trading session
- Own daily trading execution, freeing the lead advisor for client-facing and planning work
Schwab Account Operations (~25%)
- Process daily account operations: contributions, distributions, RMDs, rollovers, ACATs, wires and money movement
- Raise cash and manage cash transfers across client accounts as directed
- Open new accounts and manage transfers, call Schwab to resolve technical issues and service requests
- Gather account statements and documents for CPAs, attorneys and clients as needed
- Track transfers and inflows for billing, assist with invoice preparation and client onboarding
Compliance & Administrative Operations (~20%)
- Complete scheduled compliance tasks under the direction of the CCO: quarterly reviews, checklists, and required documentation
- Assist with regulatory filing support and internal audit preparation
- Draft and send client agreements via AdobeSign, maintain and update forms and PDFs in Adobe Acrobat
- Support meeting scheduling, Calendly management and the lead advisor’s calendar as needed
- Update the master onboarding sheet when new clients are added, research and evaluate administrative tools as the firm evolves
- Help maintain and improve written procedures and operations manuals
Advyzon, CRM & Investment Research (~10%)
- Set up new households, create client portals, and maintain target asset allocations and custom benchmarks in Advyzon
- Reclassify unassigned holdings weekly, remove stale performance reports quarterly
- Keep client data accurate and consistent across Schwab, Advyzon, and Wealthbox
- Generate and share monthly Morningstar watchlist reports
- Assist with quarterly investment model data updates, quarterly review notes and the biannual full model data refresh
Marketing & Client Support (~10%)
- Assist with posting newsletters to the website and keeping the events page current as directed by the team
- Help produce webinar materials, LinkedIn content, and light video editing in support of the firm’s marketing efforts
- Attend client meetings, take notes, and handle follow-up items as you grow into the role
- Respond to straightforward client inquiries via email with professionalism and care
What We’re Looking For
Required:
- Direct, hands-on experience with Charles Schwab Advisor Center. You’ve processed account operations, money movement and client service requests independently
- Experience executing trades or implementing rebalancing in a custodial or portfolio management platform
- High proficiency using AI tools in a professional setting. Comfortable integrating AI-assisted workflows into daily work and quick to adopt new tools as they evolve.
- Organized, detail-oriented, and reliable. You own tasks end-to-end without needing to be managed.
- Clear written and verbal communication, collaborative, low-ego approach
- Able to work independently in a fully remote environment during core business hours (Eastern time)
- Bachelor’s degree in finance, business, accounting, or a related field or equivalent professional experience
- A sense of humor
Preferred:
- Experience with Advyzon, Wealthbox, or similar RIA portfolio reporting and CRM platforms
- Familiarity with compliance workflows in an RIA or broker-dealer environment
- Basic marketing skills: LinkedIn, Canva, or light video editing
- Interest in financial planning. CFP candidacy or progress toward the designation is a meaningful plus
- iRebal or similar portfolio rebalancing platform experience is a plus
